20 March 2026Sometimes events require us to break records. Recently, for example, we found ourselves managing two major events within just a few hours: 36 hours, to be precise. That was the time we had to dismantle the Olio Capitale Expo exhibition (held from 13 to 15 March) and prepare for the dual institutional event scheduled for Tuesday, 17 March: the 30th Anniversary of the CEI – Central European Initiative and the event “IMEC Indo-Mediterranean Corridor. Opportunities for Businesses.”
Exhibition stands to dismantle, the Auditorium layout to redesign, audio and video systems to adapt, window graphics to replace, different catering services to coordinate, security teams to manage, and clients to satisfy with set-ups and services that met their expectations… and much more.
Convention venues and PCOs know that, in situations like these, organisation and coordination are the key elements. A well-defined action plan—while remaining flexible enough to respond to unexpected challenges—is an essential tool. When the available time is limited and the expected number of participants is high, some tasks might seem impossible without strong coordination skills and a trusted team behind them.
